Email, calendar, and contacts
HCL® Notes® software combines with HCL Domino® software to help improve user efficiency through intelligent e-mail, calendaring and contact management-all within a modern, easy to use client interface.
E-mail
Notes software helps users manage the tasks and actions implicitly imbedded within simple email. Email can be flagged by its relative importance; follow up dates can be set for when a reply is needed or an action is to be completed by, and alarms can be set to remind the recipient of an impending follow up. Messages can be signed and encrypted to help verify sender authenticity and protect confidential data. And, an email sent in error can be recalled - even if its recipients have already read it.
    Speed email construction with automatic spell check - highlighting errors as users type. A type-ahead feature matches user input with their most recent contacts for fast addressing.
    View your inbox by conversation, where threads of related email - even those that have been deleted - are grouped together for a clear view of the topic under discussion, and replies that have been made.
    Open email in individual tabs or separate windows. Quickly scan email through either a horizontal or vertical preview pane.
Team collaboration and personal file sharing
Integration with optionally available HCL Connections™ software allows you to manage personal and team content directly from the always available Notes sidebar, helping to reduce email glut for individuals and organizations.
    Save email attachments in shared or personal Lotus Connections places, and send links to Lotus Connections places instead.
    Drag-and-drop entire e-mails with attachments into Connections places using the Notes side shelf.
    Prompt users who send attachments with the option to instead send a link to their Connections place.
Calendar and scheduling
Quickly schedule meetings, appointments, and reminders across multiple time zones. Invite required and optional attendees, and secure meeting resources such as a conference room and audio/visual equipment, all within a single invitation.
    Select meeting times based on the availability of all or just required attendees. Users can accept or decline meeting invitations, propose alternate times, or delegate attendance to a colleague.
    See a daily, weekly, or monthly view of calendars, and see a day-at-a- glance view through the always-available sidebar. Elect to also display rescheduled and unprocessed meeting invitations, as well as those confirmed, on the calendar.
Personal contacts and collaborations
Contact information within Notes software helps users keep their network of colleagues close at hand, and enables them to quickly find people with key job responsibilities.
    Maintain a variety of personal and professional data for a contact, including a photograph, and organize them in related groups and categories. Display a simplified view of a contact with just those fields where data is entered.
    Access contacts through sorted lists, or a view of business cards that show basic contact information.
    Use contacts to address email and meeting invitations, and chat via integrated instant messaging. View all recent collaborations with a contact to quickly find needed information.
Out of office
When users are away from the office, they can direct Notes software to alert senders of incoming email and meeting invitations that they are unavailable. Information such as the date and time of return, as well as custom instructions such as alternate contact information or the name of a backup colleague, can be conveyed so that workflow execution can continue.
Integrated collaboration tools
Users need information to do their jobs effectively. And that information comes from a variety of places - people, news feeds, applications, documents, and the Web. HCL® Notes® software allows users to access all of these sources from a single interface, in the context of the work they're doing.
Always-available tools
Create "plug-ins" of the tools and applications users use most frequently for quick and easy access via the always-available sidebar panels.
    Day-at-a-glance calendar, instant messaging and presence awareness, news feeds, widgets, and activities (supported through an optional activities server) sidebar panels are delivered out of the box.
Find available colleagues and collaborate instantly
By collaborating in real time, users can be more responsive to urgent issues and make informed business decisions quickly. Notes software blends HCL Sametime® presence awareness and instant messaging capabilities into the always-available sidebar.
    Determine the availability of colleagues at a glance with dynamic visual cues. Check presence indicators next to contact names in the inbox, calendar and address book, as well as in applications such as team rooms and discussions.
    Find contact information on a colleague in the Sametime contact list instantly with a simple click — from wherever the contact is linked.
    Quickly chat with a colleague with a single click. Share important information — including links, rich text, and emoticons — directly within instant messages. Save the contents of an online chat within the mail file or to a local file.
Live text and widgets
Connect users with relevant, real time information from a variety of sources without having to store it in a document or email.
    The My Widgets sidebar panel in Notes allows users to quickly and easily perform business actions via widgets created from Notes views, Web pages, feeds and Google Gadgets™. These widgets can be standalone or launched from Live Text in Notes documents.
    Notes software can recognize and highlight specific patterns of text within an email or a Notes application — like an address, part number, or a currency value. Right clicking on highlighted Live Text allows users to perform an action on that text, for example, mapping an address, viewing inventory for a product, or converting between currencies.
Widgets can be developed and deployed by role or individual — helping users customize their work environment with what works best for them.
Open standard office documents
Notes software integrates HCL Lotus Symphony software, office productivity tools that support the Open Document Format (ODF) standard. Open standards means you don't need to worry about end of life uncertainties or expensive, ongoing software licensing and royalty fees. Lotus Symphony software includes word-processing, spreadsheet, and presentation capabilities. Users can create, manage, and edit documents in ODF, as well as import and export Microsoft® Office documents.
    Create, edit, share, and save word processing documents. Start with a blank document, import an existing document, or choose from a set of document templates.
    Create graphic presentations that can be shared with audiences via a slide show mode. Start from scratch or use the included presentation templates for a variety of looks.

Organize tasks and projects
When people work together, they create, share, and manage information across a variety of virtual resources — email, databases, instant messaging, Web pages, and documents. Notes software includes a plug-in within the always-available sidebar that provides connection to Activities featured in the optionally purchased HCL Connections software.
    Track current work projects, share files and bookmarks, post messages, track to-do items, and manage deadlines.
Instant news and views
Content syndication is a way of publishing Web content. Users can subscribe to this content in the form of feeds, which are published using really simple syndication (RSS) or the Atom publishing protocol (APP). Subscriptions notify users of new Web content with requiring them to actively check for it. Feed readers enable users to subscribe to and manage their feeds.
    Users to receive up-to-the-minute information on customers, suppliers and partners, or general news and views-without requiring them to actively check for it. Feeds are always available within the Notes sidebar.
Business mashups
HCL Notes® and Domino® software makes it easier to integrate line-of business (LOB) solutions and data into new types of applications, called business mashups or composite applications. Through business mashups, the end users can use multiple applications - or components - which are aggregated on their familiar Notes desktop. Components can include Notes e-mail, calendaring, custom Notes applications and components built in other technologies, including widgets, gadgets and Web page fragments.

    End-users can be more effective when all systems they use - including back-office systems - are aggregated on the screen and interoperate to help complete a work process. And select end users can create composite applications on their own, using drag-n-drop assembly, component wiring capabilities, predefined component libraries and components they have defined through the My Widgets feature.
IT can gain flexibility and speed application deployment
    Your existing Notes applications can be reused and aggregated in a business mashup, or composite application. In addition, new runtime capabilities allow IT to make use of other technologies like Java™ and Eclipse™ to create and aggregate multiple applications - including back-office systems - in a composite desktop. (Eclipse is an open source community committed to a universal development platform). IT can provide user-facing components that leverage their SOA strategy. And IT can include user-defined widgets, gadgets or Web page fragments in composite applications.
Mobile and offline access
Today's workforce is increasingly mobile, living and working in all corners of the globe. And they need to be just as productive wherever they are--even when disconnected from the corporate network. Advanced HCL® Notes® technologies allow users to productively use their HCL Domino® applications and email virtually anytime and anywhere.
Keep current without the wait
Create offline copies-or replicas--of any Notes application, including email and calendars. With Notes replication technology, each replica is kept identical to the application on the server. Users make changes once and then replicate so that they appear consistently in both places. Replication also lets users on various networks in a variety of (physical) locations share the most current version of information in an application.
Replication technology is ideal when using dialup telephone connections. Work can be performed on large documents and applications more quickly, since a local replica can open documents and views much faster than a server application can over a network.
Replication can be performed on-demand, or on a scheduled basis. Users can control how it is performed for optimal performance, such as limiting replicated documents to those with attachments of a maximum size
Stay connected while mobile
Eligible users of Notes software may request entitlement to a new wireless e-mail option, called Lotus Notes Traveler, which provides real-time synchronization of Lotus Domino e-mail and PIM data on a Microsoft Windows Mobile 5 or 6 mobile device (smartphone or Pocket PC).
